What it does

Team chat

Channels for each client or topic, direct messages, threads and files, with calls when typing is slower. It lives in the same workspace as your invoices, projects and people.

Channels and direct messages
Public and private channels with topics and archiving, and conversations with up to nine people.
Threads, reactions, mentions
Reply without cluttering the channel. @mention a person, @here or @channel, and see unread and mention counts.
Files and links
Upload files, which only people in the channel can open. Links show a short preview.
Search
Find words and the start of words, ranked, with filters for person, dates and files.
Later and reminders
Save a message, set a reminder with /remind, schedule a message to send later, and keep drafts that follow you between devices.
Presence and status
See who is online and set a short status. Mute a channel or choose what notifies you.
Voice and video calls
Start a call in a channel or message for up to eight people, with screen sharing.
Opt-in email and push
Each person can ask for an email digest of missed mentions and messages. Browser push notifications need the server to be set up for them.

Chat with clients and partners

A client can join a private channel from their portal sign-in and see only that channel. Another business on KudiBooks can share a channel with you and choose who from their side comes in.

Client guests
Guests sign in through the client portal, the same way they see their projects and invoices.
Marked as guests
Everyone in the channel can see who is a guest.
Shared channels
Two businesses can share one channel. Each business decides which of its people join.
Your side stays yours
An owner or admin of the other business has no power over the rest of your chat.
Revoke at any time
Remove a guest, or stop sharing a channel, and access ends.
Off until you switch it on
Guests need to be allowed for the workspace in chat settings and then for the channel. Sharing with other businesses has its own switch. Owners and admins control both.

Chat automation and control

Have a paid invoice or a new lead show up in the right channel without anyone typing it. Set how long messages are kept, hold them when you must, and export them when you are asked.

Event posts
Invoice issued or paid, estimate accepted, new lead and approval requested can post into a channel as an app.
Incoming webhooks
A web address per channel. Anything that can send a web request can post a message.
Slash commands
Type /remind me tomorrow at 9am to send the report, /invite @name to add someone, /topic to change the topic, /mute, /star and a few more. /help lists them.
Roles in a channel
Owner, moderator, member and read-only viewer, with rules for who posts, who adds people and who may use @channel.
Retention
Choose how long messages are kept for the whole workspace, and override it for a single channel. Older messages and their files are deleted for good.
Legal hold
A hold on the workspace or on one channel stops anything there from being deleted by retention.
Export
Owners and admins can export messages as CSV or JSON. Public channels are included by default, private channels and direct messages only when asked for, and each export is written to the audit log.

Practical answers about what you can do with team chat.

Is there a mobile app?

Not yet. The web app works on a phone, and notifications can be delivered to phones that support browser push.

Do calls work across different networks?

They work on one network out of the box. Calls between people on different networks need a relay server to be set up on the server.

Can a guest see other clients’ channels?

No. A guest sees only the channels they were added to.

Does the client need a new account?

No. They use their client portal login.

Can other tools read my chat through an API?

Not yet. Incoming webhooks post in; outgoing webhooks and a bot API with tokens are not built.

Is chat end-to-end encrypted?

No. Messages are stored on the server so they can be searched, retained and exported.
