Sales & CRM

Leads go in a list. The ones worth chasing become deals you drag across a board. When one is won, the customer, the project and the invoice are already connected to it, because they came from the same place.

One board, your stages
A sales pipeline is set up for you with six stages. Rename them, add your own, or run more than one board for different kinds of work.
A weighted forecast
Every open deal is scaled by how likely its stage is, so you see what the month is actually worth rather than the best case.
Calls, notes and tasks
Log what was said against a lead or a deal. Tasks that nobody has ticked off show on the pipeline page until they are done.
Leads become customers
Converting a lead creates a customer you can invoice, and optionally opens the first deal at the same time. The lead stays, so you can still see where the work came from.
Won deals that are not billed
A deal marked won without an invoice is listed, so money that was agreed does not quietly go uninvoiced.
Why you lost
Lost deals keep their reason. It is the only way the pattern — price, timing, the wrong fit — ever shows up.

Projects

Each client can have several projects. Track the work on a board, post short updates, and tag invoice lines with the project they bill, so every project shows what has been invoiced and what is still owed.

A board that fits your work
Stages are yours to name. A software team might use Backlog, In progress, In review and Done; a builder might use Quoted, On site and Completed.
Create projects while invoicing
On an invoice line, choose a project or create one right there from what you just typed, such as “Web development”.
Budget against billed
See how much of a project’s budget has been invoiced, and how much of that is still unpaid.
Files, shared on your terms
Attach files to a project and choose which ones your client sees. Clients can send you theirs from the portal. Files are stored privately and downloaded through short-lived links.
Internal tasks stay internal
Mark a task or an update as internal and it never appears in your client’s portal.
On the PDF too
Lines tagged with a project show the project’s name on the invoice PDF.

Retainers

Describe the services and how often they are billed, send the client a private link to read and sign the agreement, and KudiBooks creates each invoice on time. Nothing is billed until it is signed.

Any interval
Every week, month, quarter or year, or every two or three of them: “every 2 months”, “every 3 weeks”.
A signature you can point to
The signed agreement records who signed, when, and a fingerprint of the exact terms, services and schedule that were agreed.
Pause without a backlog
Pause billing and resume later; the periods missed while paused are skipped rather than billed all at once.

Each invoice can be issued straight away or created as a draft for you to check.

Before you get started.

Practical answers about what you can do with clients & projects.

Is this a full CRM like Salesforce?

No, and deliberately. It is leads, a pipeline, activities and the link through to invoicing. There are no email sequences, lead scoring rules or territory management.

Does a won deal create the invoice automatically?

No. You link the invoice when you mark the deal won, or create one from the customer in the usual way. KudiBooks will not issue an invoice without you.

Is there time tracking?

Not yet. Projects track tasks, updates and what has been invoiced. Time tracking is not built.

Can a project have more than one invoice?

Yes. Any number of invoices can include lines for the same project, and a single invoice can split its lines across several projects.

Does KudiBooks email the signing link?

Yes. Email it to the client from the retainer, with your own wording. You can also copy the link and send it another way, such as WhatsApp. You get an email when they sign.

Is a typed signature legally binding?

Electronic signatures are widely accepted for ordinary service agreements, but the rules depend on your country and the contract. KudiBooks records the signature, time and a fingerprint of what was signed; it is not legal advice.

Can clients see my other clients or my accounts?

No. A client login is separate from a team login. It can only read that one client’s projects, invoices and agreements.

Does KudiBooks email the invitation?

Yes. Tick “Email them the invitation” when you invite someone, or copy the link and send it yourself. Clients can also reset their own password by email.
