How it works

  1. Step 1

    Tell us what you do

Describe your business and KudiBooks suggests the tools to switch on. Add or remove any of them later.

  2. Step 2

    Run the day-to-day

Bill clients and get paid, move projects along, sign retainers, hire people and pay them, all from one place.

  3. Step 3

    See where you stand

Your books, bank matching and reports update from the same entries, with nothing to copy across.

Type an item once. Never type it again.

The slowest part of invoicing is retyping the same descriptions and prices. KudiBooks remembers every item you put on an invoice and suggests it the next time, with its price and tax already filled in.

  • Search your customers, or add a new one without leaving the page
  • Payment terms in one click: due on receipt, net 7, 14 or 30
  • Create it, then share a PDF or a payment link, and email it only when you choose to
Explore invoicing

Customers pay from a link. You never chase the receipt.

Every invoice can have a payment link. Your customer opens it, sees exactly what they owe, and pays on Paystack’s secure checkout. The payment is recorded against the invoice for you.

  • No account or sign-up needed for your customer
  • The link always asks for the balance still due
  • You decide when clients are emailed. The only automatic emails are receipts for online payments and reminders, and both can be switched off
How online payments work

Deliver the work, and keep your client in the loop.

Give each client project a board, post short updates, and tag invoice lines with the project they bill. Invite the client to their own portal, where they follow progress, pay, sign agreements and send you files.

  • Stages named for your kind of work, with progress that follows the board
  • Retainers clients sign online, billed automatically on the schedule you set
  • Internal tasks and notes never reach the client

Look after your team, and pay them properly.

Keep a record for everyone, take new joiners through a checklist, track leave, and run the month’s payroll. KudiBooks works out PAYE and pension, handles part months and unpaid leave, and gives everyone a payslip.

  • Approving a run posts it to your books, and marking it paid moves the cash
  • Rates and tax bands are settings you control, so they can follow the rules
  • Only owners, admins and accountants see pay. Staff see just their own leave and payslips
Explore people and payroll

Offer letters and lay-off notices that write themselves.

Choose a letter and a person, and it fills in from their record. Change any word, then download a PDF on your letterhead or email it. Offers can be accepted or declined online, and the answer is kept on the letter.

  • Eleven letters to start from, from an offer to a lay-off notice
  • Edit the wording or write your own, with optional parts that appear only when needed
  • Every letter kept on the employee’s page, with who it went to and when

The books run themselves, and still add up.

Behind every invoice, payment, bill and payroll run is a balanced double-entry journal entry, posted automatically. Import your bank statement, match each line to what you have already recorded, and your bank and your books agree.

  • Corrections add a reversing entry, so history is never rewritten
  • Match a bank line to an invoice payment so money is not counted twice
  • Transfers between your own accounts are not counted as income
Learn about bookkeeping

Know where the business stands.

Profit and loss, balance sheet and cash flow are built from the same entries as everything else, so they always agree with your invoices, bills and bank.

KudiBooks, compared with spreadsheets and chat apps.

A spreadsheet, a Word file and a WhatsApp message work until they do not. Here is what changes.

Your records, kept safe and kept honest.

It is your money and your customers. These are the things we have built to look after them.

Password and two-step sign-in
Change your password any time, and turn on an authenticator app so sign-ins need a code as well.
Roles that fit your team
Owner, admin, accountant and staff. Staff can look but not change. Pay and HR records are for owners, admins and accountants only.
A searchable audit log
See who changed what, and when, and exactly which fields changed.
Each business kept separate
Every record belongs to one business and is only read in that business’s context.
Card details never touch us
Customers pay on Paystack’s own checkout page, not a form on our site.
Exact money maths
Amounts, tax and payslips are calculated with exact decimals, so totals never drift by a kobo.

Questions, answered.

Something missing? Ask us.

Is KudiBooks free to use?

Starter is free for invoicing, bills and core reports. Paid packages unlock projects, banking, payroll and more — see Pricing to compare. When a customer pays you online, Paystack’s fee and your platform percentage (shown in Customer payments) apply to that payment only.

Do I need to know accounting?

No. KudiBooks sets up a chart of accounts for you, and creating invoices, recording payments and entering bills post the right entries automatically. Manual journals are there when you or your accountant want them.

How do customers pay me?

Every invoice can have a payment link. Once you connect Paystack in Payment settings, customers pay on Paystack’s checkout with the methods you have enabled, and the payment is recorded against the invoice. You can also record cash and bank transfers yourself.

Can I invoice in Naira and other currencies?

Yes. Each invoice has its own currency, and reports are shown per currency. Automatic exchange-rate conversion is not built yet.

Can I run payroll in KudiBooks?

Yes. Add your people with their monthly pay, start a pay run for the month, and KudiBooks works out PAYE, pension and take-home pay for each person, with part months and unpaid leave taken into account. Approving it posts to your books, and each person gets a payslip. It does not pay your staff or pay PAYE and pension to the authorities for you. The rates are settings you can change, so check them with your accountant.

Can I write offer and lay-off letters?

Yes. Choose a letter, choose the person, and it fills itself in from their record. Change any wording, download a PDF on your letterhead or email it. Offers can be accepted or declined online. The wording is a starting point, so have a lawyer check anything important.

Can my clients see their projects and invoices?

Yes. Invite a client to their own portal. They see their projects, invoices and agreements, can pay and sign online, and can send you files. They see only what you choose to share.

Can I connect my bank account?

Not directly yet. You add a bank account, import a CSV statement or enter lines by hand, and match each one to your books.

Can I email invoices from KudiBooks?

Yes. Send an invoice from KudiBooks with the PDF attached and a button to pay online, edit the wording of any email, and set automatic payment reminders. Clients can pay straight from the email.

Can my accountant use it?

Yes. Invite them with the accountant role. Staff members can look at records but not change them.

Is my data private?

Each business’s records are kept separate and only read in that business’s context. Staff pay and records are visible only to owners, admins and accountants. You can change your password, turn on two-step sign-in, and an audit log records changes.
