Inside Accounting & reports

The details make the difference.

Bookkeeping

You create invoices, record bills and log payments. KudiBooks records the matching double-entry journal entries itself, so your books stay right without bookkeeping chores.

Full feature guide →
A chart of accounts from day one
New businesses start with a standard set of accounts for cash, receivables, payables, tax, income and expenses.
Bills and vendors
Record what you owe, choose an expense category, approve it, and mark it paid as you pay.
History is never rewritten
Corrections add a reversing entry rather than editing the original, so you can see what was recorded and when.
Exact money maths
Amounts are calculated with exact decimals, so totals never drift by a kobo.
Stock and the cost of what you sell
Switch stock tracking on for a product and KudiBooks counts it, keeps its average cost, and posts the cost of goods sold when you issue an invoice for it.
Roles and an audit log
Invite an accountant or staff member with the right level of access, and see who changed what.

Bank reconciliation

Add a bank account, import a statement, and match each line to an entry that is already recorded, or categorize it as something new.

Full feature guide →
Multiple accounts and currencies
Keep each bank account separately, each in its own currency.
Match, don’t duplicate
When a customer’s payment is already recorded against an invoice, matching the bank line to it avoids counting the money twice.
Categorize what is new
Bank charges, owner top-ups and anything else not recorded yet can be categorized straight from the line.
Transfers are not income
Moving money between your own accounts is not counted as income or spending in reports.
Know what is left to do
See which lines are reconciled and which still need attention.

Reports

Profit and loss, balance sheet and cash flow come straight from the same entries as your invoices, bills and bank lines, so they always agree with each other.

Full feature guide →
Profit and loss
Income minus expenses for any period, so you know whether the business is actually making money.
Balance sheet
What the business owns, what it owes, and what is left for the owner, on any date.
Cash flow
Real money movements in and out, month by month. Transfers between your own accounts are left out.
Back to the source
Cash flow lines link to the journal entry behind them.
VAT summary
Tax you charged customers against tax you paid suppliers, per rate, for the period you are filing, with the ledger balances alongside as a check.
Stock valuation
What your stock was worth on any date, product by product, worked out from every movement up to it.
Per currency
Each report is shown in one currency at a time.

Before you get started.

Practical answers about what you can do with accounting & reports.

Do I need to understand debits and credits?

No. Day-to-day work needs none of it. The journal is there when you or your accountant want to look.

Can my accountant use KudiBooks?

Yes. Invite them with the accountant role. Staff members can look but not change anything.

Can I connect my bank directly?

Not yet. Live bank connections are not built. For now you import a CSV or enter lines by hand.

What CSV format do I need?

Four columns named reference, date, description and amount, up to 64 KB and 1,000 rows. Quote any description that contains a comma. Most bank exports need a quick reformat in a spreadsheet first.

Are reports live?

Yes. They are built from your entries when you open them, so they are always up to date.

Can I see all currencies combined?

Not yet. Reports are per currency, and automatic exchange-rate conversion is not built.
